The Role:
You will be an administrative expert, focused on maintaining high professionalism while working behind the scenes of a clinical operation. Your responsibilities include managing counselling cases efficiently, ensuring compliance within the external affiliate network, and monitoring the matching process to provide guidance on company procedures. Day-to-Day Responsibilities:
- Ensure all counselling cases are matched within 24 working hours and session confirmations received within 12 hours.
- Monitor, mentor, and ensure the affiliate network adheres to clinical governance and embraces workplace counselling.
- Maintain accurate records for affiliate network counsellors and update system maps and databases as needed.
- Monitor risk cases in line with risk policy.
- Process and manage additional session requests, liaising with counsellors and employers to ensure timely completion.
- Support other projects as required.
- Adhere to all individual and team KPIs daily, weekly, and monthly.
- Maintain confidentiality and discretion with sensitive information.
- Handle departmental inquiries and answer calls as needed.
What You Bring:
- Excellent communication and customer service skills.
- Self-sufficient, innovative, and driven, capable of working independently or in a team.
- Proficiency in MS Office applications.
- Experience in data entry, scheduling, and diary management (desired but not essential).
- Proven track record of meeting KPIs and targets, with a desire to foster the same in others.
- Ability to engage clients, colleagues, and management via various communication channels.
