Responsible to: Chief Construction Officer
Location: Mayfair, London (Full-time Office based)
Role Summary:
To play a key role in supporting the delivery team this is a diverse role supporting the delivery team in a variety of administration duties with a focus on Document Control.
The successful candidate will be leading the document control team at Caudwell, ensuring day-to-day activities are running smoothly. They will assist in ensuring a consistent and reliable method of filing and managing documents is in place across the Company, ensuring company processes stay relevant making recommendations for change where necessary.
Key Responsibilities:
Working with the project administration team to effectively review, manage and update ACONEX (document collaboration system) and the document management procedures acting as the first point of contact for all document related queries
Maintain distribution lists for documents, ensuring the right documents get to the right people both internally and external consultants, managing the document cycle and comments
Managing access rights for the team
Completing regular audits to ensure effective operation of documents and quality control
Prepare and carry out inductions to employees/contractors that are new to ACONEX
Engage in appropriate meetings and reporting on workflows and project deliverables
Managing correspondence, answering emails
Arranging meetings by scheduling appropriate meeting times, booking rooms, and planning refreshments
Creating agendas and taking minutes
Various ad hoc admin tasks for the Chief Construction Officer and the delivery team
Archiving, photocopying, scanning, converting drawings to various file formats, binding, and assisting the Project Team as required
Experience:
2-years’ experience as a Document Controller preferably in high end residential projects
5 years construction based administration experience
Strong customer focus and a reputation for delivering exceptional quality
Excellent Organisational skills
Good Interpersonal Skills, self motivated, and able to work on own initiative
·Must have minimum GCSE Level C Maths and English
Ability to work within a team and be flexible
