The predicted salary is between 30000 - 42000 £ per year.

The post holder will be required to provide a confidential secretarial and administrative service to the Early Intervention Team (EIT). The post holder is responsible for managing referrals, sending appointment letters and mailshots, handling all telephone calls to ensure they are passed on promptly, and managing the Care Plan Approach (CPA) forward planner to ensure CPA appointments are scheduled within the agreed timeframe.

The role also includes requisitioning stationery, maintaining meeting rooms, and managing non-stock requisitions. The Team Administrator will oversee the patient pathway, ensuring referrals, reviews, and appointments are processed and completed within the required timeframes.

The post holder will provide administrative support for outpatient bookings using a computerised Patient Administration System (PARIS), electronic scanning equipment, and other administrative duties related to this service. This involves liaising with service users and clinicians to ensure timely patient care.

Additional responsibilities include:

  • General administrative duties
  • Ensuring an efficient administrative service for the team
  • Typing of all clinical correspondence
  • Coordinating contact with service users via telephone, email, or letter
  • Greeting service users, carers, and visitors when required
  • Providing an effective booking service in accordance with NHS targets
  • Making appointments according to booking and waiting time policies
  • Identifying service users whose appointments may fall outside target timeframes
  • Managing clinic capacity and flagging shortages
  • Providing a general appointment booking service as needed
  • Typing all business correspondence
  • Ordering and managing stationery supplies
  • Identifying issues that may pose risks to service users, carers, or service delivery
  • Taking and typing minutes for team and ad hoc meetings
  • Providing comprehensive administrative support to the multidisciplinary team, including meeting management and appointment coordination
  • Preparing and minuting weekly meetings
  • Maintaining filing systems in line with information governance guidance
