Are you ready to bring order, structure, and precision to a fast-moving operations team, ensuring every detail is accounted for and every process runs smoothly? At Whittard of Chelsea, we’ve been delighting customers with exceptional tea, coffee, and hot chocolate since 1886. As we continue to grow and serve customers around the world, we’re looking for a highly organised Operations Administrator to join us on a 6-month fixed-term contract and play a key supporting role in our B2B and fulfilment operations.

About the Role… This is your chance to step into a vital role that keeps the engine of our operations running. As Operations Administrator, you’ll provide essential administrative support to our Operations and Customer Service teams—ensuring certifications are processed on time, customer records are accurate, and fulfilment runs seamlessly. You’ll be a natural multitasker with a sharp eye for detail and a calm, methodical approach. From tracking overseas documentation to communicating with customers and partners, your work will directly support our ability to deliver outstanding service. This role is based 5 days a week in Abingdon, Oxfordshire (OX14 4SH).

  • Keep Things Moving – Support Operations Executives and Sales Managers by updating fulfilment schedules and ensuring smooth certification processes.
  • Own the Admin – Maintain trackers, records, and filing systems, keeping everything up to date, accurate, and ready for action.
  • Be the Certification Champion – Manage all aspects of customer order certifications—from documentation and mailing to logging and reporting.
  • Clear Communication – Respond promptly and professionally to customer queries, keeping them informed of order statuses at every stage.
  • Support the Team – Jump in to help with wider operational tasks, research, and process improvement projects when needed.
  • Process & Productivity – Help create templates, document workflows, and improve internal guides to drive efficiency.

What experience you’ll have…

  • Educated to GCSE level (or equivalent).
  • Strong knowledge of Microsoft Office, especially Excel.
  • Previous experience in wholesale order fulfilment preferred.
  • Familiarity with export documentation or FMCG environments a bonus (but not essential).
  • Comfortable working with data, trackers, and documentation.
  • Confident juggling multiple tasks under pressure.
