We seek a Workplace Coordinator who embodies a cheerful demeanour and can create a welcoming first impression for Softcat. A Workplace Coordinator is a cultural ambassador who lives and promotes Softcat values every day. They always offer excellent customer service and create a great place to work or visit for employees and guests alike. This role is an onsite role 5 days per week.

Your main role will involve the smooth running of the office, being the first point of contact for all workplace matters. You will be required to handle incoming calls, facilitate a busy diary of internal meeting room bookings and company vehicle bookings, as well as arranging collection and distribution of mail and ad hoc courier requests. Place the consumables orders and upkeep/stock take of the branch.

As a Workplace Coordinator, you’ll be responsible for:

  • Stakeholder Management: Support delivery of FM-related operational activities working in partnership with third-party service providers and in-house teams to meet the business and occupancy needs. A trusted team member who develops strong and positive relationships with our employees and key business stakeholders in the office.
  • Building Services and Maintenance: Coordinate the delivery of hard services i.e., HVAC, Plumbing, Electrical. Checking all systems are within working conditions and best practice. Facilitate and undertake ad-hoc daily event requests by local departments. Deliver the PPM scheme, ensuring all contractors are managed effectively on site. Undertake regular office inspections, complete reports, and initiate/progress any required works with suppliers.
  • Health, Safety & Environmental: Ensure Fire Warden, First Aid and Manual Handling lists etc; are up to date and adequate cover is maintained. Review and update fire procedures and fire risk assessments. Ensure signage is correct, compliant, and updated i.e., Fire, maintenance, etc.
