Join our team as we have a vacancy for an Assistant Planner & Administrator. The successful candidate will ensure all departmental administration, quotations, and invoices are completed within the timescales demanded by our customer base. This includes supporting planning, tender submissions, contract renewals, and fleet management.
Your day-to-day responsibilities will include:
- Processing all incoming customer purchase orders β including contract orders and internal team orders.
- Processing all purchase requisitions to the agreed timetable.
- Completing all service department invoicing to the agreed timetable.
- Completing quotations for all spares and service remedial works.
- Dealing proactively with day-to-day queries and requests from internal and external clients in a timely manner.
- Scheduling engineers, maintaining engineers' diaries, and ensuring all paperwork is submitted on time.
- Scheduling and issuing work to engineers.
- Managing and collating expenses for assigned engineers.
- Maintaining schedule and capacity planning.
- Ensuring RAMS are completed and issued to clients.
- Providing a high level of customer service at all times to internal and external customers.
- Providing telephone support when required to on-site engineers.
- Monitoring workload.
- Purchasing and parts ordering for all planned and reactive jobs.
- Ensuring engineers have the right parts and consumables for jobs.
- Looking for cost reductions in parts and materials.
- Compiling and submitting tender submissions.
- Organizing, completing, and submitting contract renewals.
- Managing service division training compliance (including DBS).
- Fleet management.
- Assisting the Senior Planner as required.
- Performing general administrative duties (including scanning, filing, Hepa & Waste Certificates, etc.).
- Tracking costs and quantities for works.
- Generating utilization and tracking reports.
- Performing any other reasonable activity as requested by Line Manager or Director.
Recommended or desired qualifications for this role include:
- Some technical knowledge of HATβs products.
- Excellent communication skills, both written and verbal, for internal and external customers.
- Proficiency with PC literacy.
- Understanding the importance of building customer relationships and exceeding expectations.
