Our Warehouse Operation is an impressive, state of the art, 2.5m square foot Distribution Centre in Shirebrook, and one of the most advanced warehouses within the UK. We are currently looking to grow our Warehouse Team with individuals who are obsessed with continuous improvement and innovation.

We are seeking a highly organized and proactive Warehouse Administrator - Maintenance to join our team. The Administrator will be responsible for developing, coordinating, and maintaining comprehensive maintenance plans and schedules to ensure the efficient operation of our warehouse facilities. The ideal candidate will have a strong background in maintenance planning, excellent organizational skills, and the ability to work effectively with various teams.

Key Responsibilities:
  • Maintenance Planning and Scheduling: Support in the development and maintenance of detailed maintenance schedules for all warehouse equipment and systems, including preventive, predictive, and corrective maintenance activities. Coordinate across the maintenance team to prioritize and schedule work orders, ensuring minimal disruption to warehouse operations. Monitor and adjust schedules as needed to accommodate changes in operational priorities or unexpected maintenance needs. Manage the in-house CAB process ensuring all stakeholders are involved in planned outages and agreed prior to outage. Reporting on failed CABs up to senior management.
  • Work Order Management: Working with all functions within the maintenance department, review and manage work orders in the CMMS (ARMS) system, ensuring all necessary details and documentation are included. Track the progress of work orders from creation to completion, ensuring timely and accurate updates in the CMMS. Ensure all completed work orders are properly closed out and documented, including but not limited to parts used, labour hours, work performed, failure codes.
  • Inventory and Spare Parts Management: Support the maintenance and accuracy of spare parts and materials required for maintenance activities and consumed on work orders, including regular audits within the CMMS system, report against metrics.
  • Data Analysis and Reporting: Working with the senior maintenance manager, analyse maintenance data to identify trends, areas for improvement, and potential issues. Support in a 6 monthly PM review supplying information to drive the area to be reviewed. Working with the software analyst, generate regular reports on maintenance activities, equipment performance, and other key metrics to support decision-making processes. Provide insights and recommendations based on data analysis to improve maintenance efficiency and effectiveness.
  • Collaboration and Communication: Work closely with all maintenance functions and other departments to ensure seamless coordination of maintenance activities. Communicate maintenance plans, schedules, and any changes to relevant stakeholders in a clear and timely manner. Foster a collaborative and proactive approach to maintenance planning and problem-solving.
  • Resource Planning: Support in the allocation of maintenance resources effectively to optimize productivity and minimize costs. Identify opportunities for process improvements and implement best practices in maintenance planning and scheduling. Participate in continuous improvement initiatives and projects to enhance overall maintenance performance. Stay current with industry trends and advancements in maintenance planning and technology.
Qualifications:
  • Previous experience in maintenance planning, preferably in a warehouse or industrial environment.
  • Proficiency in using CMMS software (e.g., Maximo, SAP PM, MaintainX, or similar systems).
  • Strong organisational and time management skills with a keen attention to detail.
  • Excellent analytical and problem-solving abilities.
  • Effective communication and interpersonal skills.
  • Proficient in Microsoft Office Suite, particularly Excel.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • A Level 2 or above qualification in an engineering field, Facilities Management, Business Administration, or a related field is highly desirable.
