Provide an administrative service to the School/Directorate, engaging in and completing a range of routine tasks to meet operational and customer service requirements. Provide support and guidance on administration systems and processes, ensure the Centre is supported, and key duties undertaken.

This role is eligible to be offered on a blended working basis, meaning that as well as spending time working on campus you can also choose to spend some time working from another location, e.g., your home. DUTIES AND RESPONSIBILITIES

Key Duties

  • Deal with a range of enquires from internal (staff & students) and external (members of the public or other stakeholders) customers in a professional manner, establishing their needs and adapting the standard responses accordingly.

  • Work with others to make recommendations for the development and improvement of current University processes and procedures.

  • Create good working relationships with key contacts to help improve service levels.

  • Undertake a variety of administrative duties to support the team and department.

  • Gather and review data to update administrative systems such as databases and spreadsheets, making sure the information is accurate, and highlighting to your line manager basic trends and patterns.

  • Actively contribute to the success of the team and support the supervision and management of it.

Specific Duties

  • Produce documentation, plan, and organise meetings, take minutes/notes and ensure any travel arrangements are made.

  • Assist with the support and administration of specialist software used in the support of our research.

  • Ensure that work is undertaken and documented in a regulatory compliant way and be prepared for regular audits and inspections, as well as contributing to the development of administrative systems.

General Duties

  • Perform other duties which are not included above, but which will be consistent with the role.

Ability to carry out a variety of administrative tasks, including writing clearly and concisely.

  1. Experience of working in an administrative or office setting.

  2. Experience of using common office IT packages (e.g., MS Office, e-mail etc.).

  3. Ability to set up and maintain standard administrative systems and procedures, including using University systems to collate and record data online and in hard copy. (Training will be provided where required).

  4. Ability to communicate with a wide range of people effectively and courteously whilst maintaining professional standards, adapting your language and style of communication depending on who you are communicating with.

  5. Ability to work well with your team, knowing how to give advice, guidance, and feedback (to colleagues and members of the public) as appropriate.

  6. Ability to deal with requests for information or service, resolving customer issues where appropriate, or being able to escalate where necessary.

  7. Ability to plan and organise your own workload within agreed timelines as set by your Line Manager/Trial Manager/Functional lead.

  8. Ability to use your initiative to solve problems and respond to queries, finding and proposing the best solution.

  9. A willingness to undertake further training and development.

Working as part of a large, diverse team from many different backgrounds, you will engage in a wide range of tasks including purchases and payments, data entry and file management, organising and servicing meetings and events and engaging with study participants.

Experience of working in an administrative or office setting and the ability to carry out a variety of administrative tasks is important. The role also requires excellent communication skills as well as the ability to work in a team. Working in a highly regulated environment also means that the role requires an ability to set up and maintain standard administrative systems and procedures. The diversity of the tasks undertaken means that your ability to plan and prioritise, problem solving skills and the ability to provide excellent customer service will be essential for the role.

This post is full-time (35 hours per week), open-ended, and is available immediately. The role will be based at Heath Park.

The majority of roles at Cardiff University are currently operating under "blended working" arrangements, with staff having the flexibility to work partly from home and partly from the University campus depending on specific business requirements. Discussions around these arrangements can take place after the successful candidate has been appointed.

Salary: £24,600 – £25,433 per annum (Grade 3).

Appointments to roles at Cardiff University are usually made at bottom of scale unless in exceptional circumstances.
