We’re looking for a detail-oriented Operations Administrator to support our Operations Division at Animal Trust Vets. You’ll manage key HR admin tasks such as issuing contracts and onboarding/offboarding colleagues, while also helping track clinic performance through data collection on client feedback, call handling, and system usage. You’ll also support site operations by updating e-booking platforms based on planning guides — helping ensure smooth day-to-day running across our clinics. Key Responsibilities:
- HR Administration
- Prepare contracts, manage employee onboarding and leavers.
- Update HR systems as required.
- Respond to internal HR queries via the shared mailbox, escalating when needed.
- Collect and organise customer feedback and service data for each clinic.
- Keep internal performance dashboards updated weekly and monthly.
- Share key customer satisfaction scores with the finance team for reporting.
- Update online booking systems to match clinic staffing plans.
- Ensure appointments are available up to 8 weeks in advance.
- Flag missing or incomplete scheduling info to managers.
- Provide ad-hoc administrative support to the central operations team.
- Provide note taking, when required, for HR meetings.

- Organised & Detail-Focused – Manages admin tasks accurately and efficiently across multiple workstreams.
- Great Communicator – Handles queries professionally and works well with team members at all levels, and also happy to work independently.
- Tech-Savvy – Comfortable with HR systems, spreadsheets, and platforms like EzyVet and Vetstoria (or eager to learn).
- Proactive Problem Solver – Spots issues early and works with others to find practical solutions.
- HR or Ops Experience – Previous experience in HR or admin support roles is ideal; healthcare or multi-site experience is a bonus.
- Team Player with Shared Values – Supports our not-for-profit mission and is happy to help where needed.
