A FCA regulated life & pensions service provider are seeking a dedicated Personal Assistant to join the company. They are looking for someone to deliver PA, secretarial, and administrative support to Account Leads on a daily basis, ensuring that all relevant tasks are efficiently managed to facilitate and streamline their responsibilities.
What you'll be doing
- Managing and maintaining the diary and inbox, prioritising deadlines and key activities to ensure effective time management.
- Organising travel arrangements, accommodation, and room bookings as needed, and supporting the Account Lead with personal expense management and other administrative housekeeping tasks.
- Producing accurate and timely documents, briefing papers, reports, and presentations as required.
- Analysing and presenting management information as required for the Account Lead.
- Generating and delivering relevant, accurate, and timely business management information upon request.
- Overseeing and supporting the quality of Vacancy and Change forms for the Account Lead and their direct reports.
- Organising and attending meetings, conference calls, and video conferences, ensuring the Accountant Lead is well prepared and capturing action points during meetings.
- Undertaking a variety of tasks to facilitate the Account Lead's role, working independently and proactively.
- Providing cover and support for other PAs within Operations during absences due to holidays or sickness.
What we're looking for
- Previous experience working in a corporate office environment, preferably in a PS / Secretarial role.
- Proficiency in MS Office Suite, including Excel, Word, Outlook and PowerPoint.
- Must have high levels of integrity, trust, accuracy and attention to detail.
- Excellent interpersonal and communication skills, both written and verbal, telephone etiquette.
- Strong networking, organisational, planning, prioritising and time management skills.
- Must be able to work autonomously and work well under pressure.
- Flexibility to adapt to varying work environments and a good understanding of Diligenta's behavioural standards and values.
- Knowledge and experience of MS Access and Project would be advantageous.
- A good level of general education in appropriate subjects is preferred.
