Are you eager to start a career in the maritime industry? As a Trainee Ships Agent based at our Milford Haven office, you’ll learn to act as the local representative for ship owners, managers, and charterers. You will be trained to ensure the smooth and efficient handling of all logistical, operational, and regulatory needs for vessels during their stay. Your role will focus on coordinating arrivals, port operations, and departures, while supporting commercial opportunities for growth within the port office.
Key Responsibilities
- Act as the main point of contact for the ship's master (captain), owners, and principals, providing real-time updates on the vessel’s status and any issues.
- Handle inquiries from ship owners and charterers, ensuring their requests are addressed promptly.
- Serve as a liaison between the vessel and relevant port authorities, ensuring smooth communication and coordination.
- Arrange the berthing and sailing of vessels efficiently, securing all necessary clearances and approvals in time.
- Coordinate with subcontractors such as stevedores, ship suppliers, local vendors, port authorities, and terminal operators to facilitate the vessel’s smooth arrival, stay, and departure.
- Attend vessels upon arrival, during stay, and before departure, managing customs and immigration clearances for crew and cargo.
- Manage logistics for crew members (on-signers/off-signers), including visa, hotel, and transportation arrangements.
- Prepare and submit required documentation related to port operations and vessel clearance.
- Be flexible to work on a rota including nights, weekends, and public holidays to meet operational demands.
Qualifications
- Highly motivated and enthusiastic with a strong customer-focused attitude and pleasant nature.
- IT literate with excellent communication skills (verbal and written) in English.
- Adaptable and able to handle unexpected changes and challenges during port operations.
- Strong organizational and documentation skills.
- Ability to build positive working relationships with ship crews, port authorities, suppliers, and colleagues.
- Possession of a full driving license.
- Resident in or near the Milford Haven area.
- Passion for the maritime industry and willingness to work a 24/7 availability schedule.
- Previous shipping experience or nautical background is a plus but not required — full training will be provided.
