Document Controller for Leading Architecture Practice based in Central London location

Location: London (Full-Time)

A leading architectural practice in London is seeking an experienced Document Controller to join their dynamic and collaborative studio environment. This practice is known for delivering innovative, complex, and high-profile projects across a range of sectors.

This is an excellent opportunity for someone with strong organisational skills and a background in document control within architecture, engineering, or construction sectors.

Role Overview:

The Document Controller will be responsible for managing the flow of technical drawings and documents across multiple active projects. This includes handling both internal and external documentation via EDMS platforms, ensuring accuracy and consistency in naming conventions, and maintaining compliance with document control standards such as ISO 19650.

The role requires a proactive individual who is comfortable working under pressure, coordinating across multiple teams, and upholding best practice standards in document control procedures.

Key Responsibilities:

  • Manage incoming and outgoing drawings and technical documents using various EDMS platforms (experience with Aconex and Viewpoint required).
  • Maintain a consistent and structured filing system across all projects.
  • Create drawing issue and returned submittal sheets, ensuring correct version control and documentation protocols.
  • Log and track all documentation using internal document management systems.
  • Collaborate with project teams to coordinate document workflows and manage submission deadlines.
  • Review and respond to external Information Requirements in alignment with internal standards.
  • Provide training and support to team members on document control procedures and tools.
  • Liaise with external information coordinators where required.
  • Help maintain and improve document control protocols, manuals, and workflows across projects.
  • Support other teams with general document control needs, such as internal policy and manual updates.
  • Ensure consistent archiving of project data and support mailbox management for project-related communications.

Key Skills and Experience:

  • Proven experience as a document controller in architecture, engineering, or construction sectors (essential).
  • Strong knowledge of ISO 19650 naming conventions.
  • Proficient with document control platforms such as Aconex, Viewpoint (4Projects), Business Collaborator, or Newforma.
  • Exceptional attention to detail and accuracy in managing large volumes of documents.
  • Confident communicator with excellent written and numerical skills.
  • Able to prioritise tasks effectively and manage time across multiple projects.
  • A collaborative team player who can also take initiative and work independently.
  • Adaptable, approachable, and receptive to ongoing improvements and change.
