Job Overview

We are currently seeking a highly organized and proactive Office Manager & Executive Assistant to join our dynamic team. This dual-role position is integral to maintaining smooth day-to-day office operations while providing high-level administrative support to our senior executives. The ideal candidate will be a proactive problem-solver with exceptional communication skills and a keen attention to detail. Key Responsibilities

  • Executive Assistant Duties:
  • Provide comprehensive administrative support to senior executives, including calendar management, meeting coordination, travel arrangements, and expense reporting.
  • Prepare presentations, reports, and documents on behalf of executives.
  • Coordinate internal and external meetings, including logistics and agendas.
  • Act as a liaison between executives and internal/external stakeholders.
  • Handle confidential information with discretion and professionalism.
  • Other ad hoc administration duties as required.
  • Office Management Duties:
    • Oversee day-to-day office operations to ensure a productive and well-organized workspace.
    • Manage relationships with vendors, service providers, and building management.
    • Monitor office supplies and place orders as needed.
    • Welcome visitors to the office.
    • Coordinate onboarding and offboarding processes for London-based staff.
    • Support company events, team meetings, and office initiatives.
    • Ensure compliance with health and safety regulations in the office.

    Your Profile

    • Minimum 5 years of experience as an Executive Assistant, Office Manager, or similar role.
    • Experience working in an international company.
    • Bachelor’s degree or equivalent.
    • Native or fluent English speaker.
    • Strong organizational and time management skills with exceptional attention to detail.
    • Excellent written and verbal communication skills.
    • Strong ability to multitask.
    • Friendly and upbeat demeanor.
    • Enjoy working in a fast-paced environment; ability to adapt quickly to changing demands.
    • High level of discretion and professionalism in handling sensitive information.
    • Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), Adobe Acrobat, and digital collaboration tools (e.g., Zoom, Google Meet).
    • Ability to work independently and take initiative in a dynamic environment.
