Owen Reed is looking to recruit a Legal PA to support an Employment, Labor and Pensions team for a top law firm in Birmingham. As a Legal PA in our Employment, Labor and Pensions team, you will deliver high-level support to a group of stakeholders. You’ll take ownership of daily administrative and project-based tasks while ensuring top-tier client service.
Key Responsibilities
- Stakeholder & Client Support
- Conduct regular 1:1s with stakeholders to align on priorities and upcoming actions
- Liaise confidently with internal and external clients
- Draft clear, professional replies to incoming correspondence
- Act as a key point of contact during stakeholder absences
- PA & Administrative Excellence
- Proactively manage inboxes and calendars, coordinate meetings and complex travel arrangements
- Organise internal and client meetings (virtual and in-person), including agendas and logistics
- Maintain confidentiality while handling sensitive documents and information
- Assist in the preparation of pitches and PowerPoint presentations
- Collaborate with Document Production for larger pieces of work
- Workflow & Matter Management
- Manage client and matter opening, working closely with relevant support teams
- Oversee the lifecycle of stakeholder requests from start to finish
- Delegate appropriately to billing, finance, document and admin support teams
- Ensure compliance with firm-wide policies and client protocols
- Financial Administration
- Coordinate billing and other financial processes
- Support monthly reporting and expenses
- Ensure all processes adhere to compliance and regulatory standards
- Marketing & Business Development
- Assist in planning and executing events
- Manage event communications, materials, and digital guest lists
- Technology & Process Improvements
- Use firm technology to manage workflows, collaborate, and research
- Maintain data rooms and electronic records efficiently
- Advocate for process improvements and tech-driven productivity
- Contribute to team-wide initiatives, including mentoring, community work, and D&I
What We’re Looking For
- Proven experience as a Legal PA or in a comparable professional setting
- Exceptional communication and stakeholder engagement skills
- High-level organisational skills and the ability to multitask and prioritise
- Proactive problem solver with strong initiative and accountability
- Strong attention to detail, especially in written and document-based work
- Excellent technical skills: Microsoft Outlook, Teams, Word, PowerPoint (Copilot knowledge a plus)
