The Executive Assistant will provide high-level administrative support to MD, ensuring smooth operations and assisting with both day-to-day activities and long-term projects. The ideal candidate will be proactive, organized, and possess excellent communication skills, able to manage complex schedules and anticipate the needs of executives.

Responsibilities

  • Manage the executive's calendar, including scheduling meetings, appointments, and travel arrangements.
  • Coordinate and prioritize tasks to ensure deadlines are met.
  • Prepare and edit correspondence, reports, presentations, and other documents.
  • Handle confidential information with discretion and professionalism.
  • Answer calls, screen emails, and respond to inquiries as appropriate.
  • Draft and review communication on behalf of the executive.
  • Organize travel arrangements including flights, accommodations, and transportation.
  • Create detailed itineraries for business trips, ensuring all logistics are handled.
  • Coordinate events, meetings, and conferences for the executive and team.
  • Manage logistics for internal and external events, such as company meetings or client presentations.
  • Support and track the progress of ongoing projects.
  • Assist in preparing reports, presentations, and other deliverables for key projects.
  • Ensure tasks and projects are completed within deadlines and standards.
  • Identify opportunities for process improvement and recommend solutions.
  • Provide proactive support to the executive, anticipating needs and managing issues before they arise.
  • Any other ad hoc duties.

Experience

  • Proven experience as an Executive Assistant or in a similar administrative support role.
  • Experience managing executive calendars, coordinating meetings, and handling travel logistics.
  • Exceptional organizational and time management skills.
  • Strong communication skills, both written and verbal.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to manage multiple priorities and work under pressure.
  • High attention to detail and accuracy.
  • Discretion and confidentiality in handling sensitive information.
  • Proactive, resourceful, and self-motivated.
  • Strong interpersonal skills with the ability to interact with various levels of staff, executives, and clients.
  • Flexibility to adapt to changing priorities.
