Our client, the leading global live events entertainment company, is seeking an Executive Assistant to the Chief Financial Officer & Chief Product & Technology Officer to start immediately. This role offers a 3/2 hybrid working structure.
Key responsibilities will include:
- Serving as the first point of contact for queries for the CFO and CPTO.
- Developing an understanding of the CFO and CPTO’s priorities and supporting all their administrative activities and projects.
- Handling correspondence and inboxes to ensure a timely response.
- Undertaking the administrative aspects of diary organisation across time zones, complex travel arrangements and handling confidential filing/expenses.
- Maintaining files relating to travel arrangements, itineraries, post, daily figures, reports and to do lists and appointments.
- Providing basic technical support to line managers and escalating as needed.
- Working within a team of EAs within the Executive Leadership Team, and providing back-up secretarial and administrative support to them.
- Preparing meetings and booking meeting rooms; welcoming guests and preparing refreshments/equipment as needed.
- Supporting with presentations, providing minutes, and preparing presentations and financial reporting packs, including Board reports and Lender Presentations.
- Supporting the Finance team more widely to include organising team off-site events, scheduling periodic financial meetings, and planning investor/lender events.
- Administering the Capital Expenditure committees to include scheduling relevant meetings, preparing documents and serving as a key contact for all Capex enquiries.
- Coordinating expense reporting for the Executive Leadership Team’s company credit cards on a monthly basis.
- Line managing the Office Manager of the central London Office.
Requirements:
- First-class organisational and time management skills.
- Excellent application of confidentiality at all times.
- Strong PowerPoint Skills are required, and Excel skills are desirable.
- Numerate and some financial experience is desirable.
- Able to deal with people at all levels of the business with strong communication skills.
- Staff management abilities.
