About Us: We are a national multi branded business dedicated to overseeing and managing a diverse fleet of vehicles, including both vans and cars, to support our business operations. With a commitment to excellence and efficiency, we are seeking a skilled Fleet Administrator to enhance our team and contribute to our continued success.
Key Responsibilities:
- Vehicle Allocation and Servicing: Efficiently allocate vehicles to drivers and oversee their regular servicing and maintenance.
- Lease Vehicles Management: Compile comprehensive lists for vehicle license checking, including driver details, MOT, and service reporting. Provide weekly updates on vehicles on order and lease return requirements.
- Daily Reporting: Prepare daily reports on vehicles off-road (VOR), covering insurance, overdue MOT, servicing, lease returns, and shortages.
- Owned Vehicles Management: Maintain detailed records of driver information, MOT, and service reporting for owned vehicles.
- Driver Charges Processing: Manage all driver charges related to damage, warranty, and costs outside BVRLA standards.
- Weekly List Production: Generate a weekly list detailing registration, region, drivers, cost, and date.
- Hire Vehicle Booking: Coordinate hire vehicle bookings with a focus on cost reduction, including requesting courtesy vehicles and exploring alternatives before incurring additional costs.
- Downtime Reporting: Provide daily downtime reports for vehicles, including registration, driver, location, and description.
Requirements:
- Proven experience in fleet management, with a specific focus on cars and vans.
- In-depth knowledge of vehicle allocation, servicing, and maintenance.
- Exceptional organizational and communication skills.
- Ability to collaborate effectively with the team and lease companies.
- Proficiency in generating detailed reports and managing driver information.
