Forrest Recruitment are exclusively working with a professional company who support a number of individuals. The Property and Tenancy Manager will oversee the day-to-day management and commercial performance of the company’s property, including managing tenant relationships, lease compliance, financial operations, maintenance and regulatory requirements.
Your duties will include:
- Tenancies: Maximising occupancy rates by marketing available spaces and managing efficient lettings. Assisting with property marketing and viewings. Screening and onboarding tenants, including referencing, financial assessment, lease preparation and induction. Drafting tenancy agreements and ensuring these are regularly reviewed and ensuring lease compliance. Managing positive tenant relationships and addressing/resolving day to day issues promptly i.e. Emergencies, maintenance and repairs. Undertaking tenancy inspections and end of tenancy arrangements/processes. Ensuring the property remains safe, attractive and income generating.
- Financial Management: Monitoring and managing rental income and tenant arrears, ensuring accurate and timely invoicing. Developing, implementing and managing a process for service charges for property tenancy. Maintaining full and accurate financial records for property income and expenditure. Sourcing and negotiating quotes for contracts and utilities, maintenance and services to ensure best value for money. Working with colleagues to reconcile invoice charges against meter readings. Organising payments to contractors and suppliers. Preparing papers and presenting financial updates and investment cases for property-related investment decisions and major works to the Board. Providing financial records, information and projections to Executive Manager for forward business planning.
- Property Maintenance: Scheduling and overseeing routine and emergency maintenance. Arranging for emergency on call cover and monitoring to be in place, and to participate in on call arrangements as necessary for the safety of the property and the tenants. Overseeing contractors on site and ensuring work is completed competently and to a satisfactory standard, adhering to safety and quality standards. Ensuring tenants are aware of maintenance works, repairs, and testing requirements, and that tenants are kept informed about any works affecting access, safety, or service delivery. Maintaining property records and ensuring compliance with all annual, monthly and weekly testing to meet regulations, including statutory testing logs (fire, water, gas, alarms, etc).
- Legal and Regulatory Compliance: Ensuring all policies and procedures relating to the property are current. Making sure the property complies with all relevant laws and regulations, for example, health and safety at work, fire, legionella. Maintaining a full suite of compliance documentation, certificates and logs (eg: lift serving, gas safety, insurances). Reviewing risk assessments. Maintaining a compliance calendar to ensure all inspections, tests, and certification renewals are scheduled and not missed. Participating in internal audits.
Working hours: Monday - Friday 9am - 5pm
The ideal candidate will be proactive, have the drive to push the company forward, be willing to attend Board meetings when necessary and must have a caring nature. Having an understanding of facilities or tenancy management is essential for this role.
