Executive Assistant with Bookkeeping duties

On behalf of our client, we are looking for an Executive Assistant who has experience with bookkeeping duties to support a driven, successful financier for a well-established investment firm, based in St James but with offices worldwide. A varied, fast-paced role that is demanding yet rewarding. You will work closely with the Chief Of Staff supporting the Principal in a business and personal capacity. It is 5 days a week in the office, but you can WFH when he travels - which is often!
Key EA Duties
- Diary Management: Efficiently manage the CEO's calendar, scheduling all appointments and meetings.
- Client Liaison: Communicate with clients and manage investor relations, keeping the CEO informed about meetings and necessary information.
- Travel Arrangements: Organize both business and personal travel for the CEO and their family, including booking itineraries and coordinating with drivers.
- Processing payments, invoices, income and receipts and entering data into accounting software or databases then filing hard copies.
- Banking Duties: Reconcile business expenses and manage credit card statements, ensuring accurate tracking of financial activities.
- Helping the Accountant with administrative duties and preparing yearly accounts.
- Managing budgets and tracking bank account balances.
- Completing VAT returns.
- Verifying the accuracy of business accounts and alerting the Accountant of errors.
- House Management: Maintain spreadsheets for running expenses of overseas properties ensuring all bills and maintenance issues are addressed.
- Staff Coordination: Manage personal staff contracts, payroll, and liaise with various household staff such as nannies and housekeepers.
- Event Management: Organize corporate events and social gatherings.
- Expense Management: Document all expenses methodically and include them in bookkeeping activities.
