An exciting opportunity has arisen for a highly organised, proactive, and experienced individual to take on the role of Executive Officer (Administration & Governance) in a specialist educational setting in Hillingdon. This key role provides essential administrative, governance, and SEND support across the organisation, ensuring effective and professional coordination of core school functions.

Purpose of the Role

  • Lead and manage key administrative processes, ensuring effective day-to-day support for the leadership team and wider school functions.
  • Oversee and develop the school's MIS (Management Information System), ensuring accuracy and compliance with data protocols and reporting requirements.
  • Administer and coordinate statutory SEND processes, including EHCP Annual Reviews and pupil admissions.
  • Provide confidential and high-level secretarial support to the Principal and Senior Leadership Team.
  • Serve as Clerk to the Governing Body, supporting all aspects of governance and compliance.

Key Responsibilities

Administration & Operations

  • Coordinate administrative workload, liaising with the Operations Manager to ensure effective team support.
  • Oversee central communication channels including shared inboxes, distributing messages to relevant staff.
  • Organise and minute meetings for leadership and external stakeholders.

SEND Administration & Admissions

  • Arrange and attend EHCP Annual Reviews; prepare accurate minutes and ensure documentation meets statutory deadlines.
  • Maintain up-to-date SEND records, including the SEND register and relevant stakeholder communication.
  • Manage the admissions process in collaboration with the Admissions Panel, ensuring all paperwork and parental engagement are completed efficiently.
  • Support the distribution and maintenance of Parent and Staff Handbooks.

MIS/Data Management

  • In collaboration with IT and leadership, manage key MIS routines including academic year setup, class creation, pupil groupings, and timetable support.
  • Maintain accurate pupil records, ensuring statutory data (e.g. SEN, FSM, Pupil Premium, medical) is recorded and updated as needed.
  • Complete CTF transfers, process new admissions, manage leavers, and conduct annual data checks.

Governance Support

  • Act as Clerk to the Governing Body, providing full clerking service including scheduling, preparing agendas, circulating papers, and minuting meetings.
  • Ensure timely collection and submission of governor documentation and annual declarations.

General Duties

  • Maintain confidentiality and professionalism at all times.
  • Attend training and CPD opportunities to support ongoing professional growth.

Qualifications

  • A-Levels or equivalent essential.
  • GCSE English and Maths at Grade C or above.
  • School administration or governance-related qualifications (desirable).

Experience

  • Proven experience in school or education administration.
  • Strong working knowledge of MIS systems (e.g. SIMS, Arbor).
  • Experience managing SEND processes, particularly EHCPs.
  • Understanding of governance processes and clerking responsibilities.
