Executive Assistant Main Responsibilities:
Executive & Administrative Support
- Provide comprehensive executive support to the President and Vice Presidents, including complex diary management, travel arrangements, and expense administration
- Manage and coordinate Senior Management meetings and Quarterly Company Updates, including agenda preparation, minute-taking, and tracking action items
- Support executive communications and maintain confidential documentation
Financial & Compliance Support
- Partner with Internal Control/Audit teams to ensure timely submission of control documents and TODs
- Process and verify corporate expenses and invoices in SAP
- Monitor and assist with Corporate Management Division GAR submissions
- Support budget control and financial documentation processes
Office Operations & HR Support
- Serve as primary point of contact for general administrative inquiries and support
- Provide professional reception coverage as needed
- Collaborate with HR team on recruitment processes, new employee onboarding and other general HR admin tasks
- Coordinate and execute company-wide events and initiatives
- Maintain office supplies and manage vendor relationships
Additional Responsibilities
- Identify and implement process improvements for administrative workflows
- Support special projects and initiatives as assigned
- Maintain strict confidentiality in all aspects of work
- Ensure compliance with company policies and procedures
Executive Assistant Ideal Candidate:
- Business level Japanese and English for writing and speaking (at least JLPT N2 Level)
- Impeccable attention to detail
