About the Role:

Our client, a business brokerage and M&A consultancy specialising in the sale of small and medium size businesses, is seeking a proactive and highly organised Executive Assistant to join their team. The locally based firm supports small to mid-sized business owners in the sale or acquisition of a company throughout the UK. We are part of an international organisation and well respected within the industry, our business is independently owned and operated. This gives us the best of both worlds – large corporate network, within a family office.

In this role, you will be the central administrative point of contact, supporting the team with essential functions and ensuring smooth office operations. This is a permanent, in-office position based in Mayfair, London, offering an excellent opportunity for professional growth within a dynamic organisation.

Key Responsibilities:

We see this position as the helm of the ship, our central HQ manages and supports our national partner network and we need someone focused on details and processes. The primary duties of this position are a combination of supporting our MD, office management and marketing administration.

  • Administrative Support : Provide comprehensive support to senior management, including managing calendars, scheduling meetings, managing actions and ensure seamless communication.
  • Workflow and Document Management: Prepare, format, and edit documents, presentations, and reports to a high standard of accuracy and professionalism. Support managing internal workflow. Creating and maintaining processes and systems to make the office run smoothly and efficiently and training new employees on office processes and systems
  • Transaction support: Support our MD and regional partners to work on transactions where required, this could include buyer research, data room management, stake holder management and much more
  • Communication: Act as the first point of contact for internal and external communications, handling enquiries efficiently and professionally.
  • Event Coordination: Organise and manage company training and events, meetings, and conferences, ensuring all logistical aspects are handled smoothly
  • Data Management and Compliance Support: Maintain and update client databases, support managing NDAs for clients ensuring all information is accurate and up to date and assist with compliance-related documentation and ensure that all regulatory requirements are met
  • Financial Administration: Support the finance team with invoicing, expense management, and basic bookkeeping tasks as required
  • Project Assistance: Provide support on various projects, ensuring timelines are met and deliverables are completed and support with research or data analysis as required
  • Travel Arrangements: Organise travel itineraries, including booking flights, accommodation, and ground transportation for senior staff
  • Operations Support: Assist with the coordination of office operations, including maintaining office supplies, managing facilities, and liaising with service providers

Skills and Qualifications:

  • Education: Recent graduate with a degree in Business Administration, Finance, or a related field.
  • Exceptional written and verbal communication skills.
  • Very high attention to detail
  • High competency in technology including internet, CRM systems, email, and Microsoft Office applications
  • Strong organisational, time-management, and multitasking abilities.
  • A resourceful team player with a positive attitude and willingness to do whatever it takes to get the job done
