We are looking for a highly motivated Compliance Administrator to join our Compliance Team to manage apprentice records, deliver best practice controls and processes and ensure Apprentify complies with all Education and Skills Funding Agency (ESFA) funding rules. Reporting to the Compliance Team Leader, the role covers a range of administrative tasks and requires co-ordination with apprentices, employers, end-point assessment organisations and internal stakeholders to ensure apprenticeship paperwork is completed efficiently, accurately and in accordance with ESFA rules and regulations.
Your responsibilities will include:
- Scheduling exams and assessments.
- Performing checks on programme controls.
- Ensuring evidence is supplied to support funding claims.
- Developing and maintaining effective compliance processes and procedures.
- Conducting regular audits on evidence packs.
- Providing support to apprentices, employers and internal staff to communicate assessment and compliance procedures.
The Compliance Administrator plays a critical role in ensuring that Apprentify maintains a culture of compliance by providing training to colleagues, employers and apprentices on compliance related matters. You will be working in a supportive, friendly and collaborative team, ensuring that we deliver an excellent service, whilst adhering to ESFA apprenticeships rules.
Key Tasks and Responsibilities:
- Plan and co-ordinate end-point assessment exams for apprentices, working closely with apprentices, employers, EPA exam bodies and internal colleagues.
- Manage and prioritise queries through a dedicated end-point assessment inbox.
- Carry out compliance checks on data and documentation, update relevant systems and communicate issues and queries to other stakeholders.
- Carry out online exam invigilation.
- Ensure the smooth flow of information within the company to facilitate other business operations.
- Update internal process documents to reflect changes to procedures.
- Complete compliance checks on documentation for all apprentices, ensuring that evidence is robust and meets funding rules and regulations, resolving any issues by working collaboratively with relevant Apprentify stakeholders.
- Support the compliance team with the monthly ILR return to the ESFA, ensuring ILR’s are accurate, error free and timely in-line with funding guidance.
- Update monthly operational data reports and tracking systems.
- Identify and share best practice and ensure consistent delivery of highly compliant services.

- Participate in the Apprentify Appraisal Scheme.
- Comply with all Apprentify policies and procedures.
- Commitment to Safeguarding and Prevent Duty, ensuring that this commitment is demonstrated in all aspects of the role as appropriate.
- Work to the Apprentify compliance standards within the context of the Apprentify systems.
- Provide information on best practice and deliver staff training as appropriate.
- Develop and maintain knowledge and experience through CPD.
- Ensure punctual arrival at the workplace at agreed start time.
