LOCATION: London/Northampton

Women’s Rugby World Cup England 2025 (Women’s RWC 2025) will be the 10th edition of the women’s tournament. World Rugby, in partnership with the Rugby Football Union (RFU) and UK Sport, have formed a Local Operating Company to plan and deliver the event. Ambitions for the tournament are at an all-time high as women’s rugby is one of the fastest growing team sports in the world. Women’s RWC 2025 will be the ultimate stage for the best players, teams and coaches from 16 nations across the globe and is set to be the biggest and most widely watched women’s rugby event ever.

RWC 2025 will see 16 teams compete, all of whom will be hosted in a number of our 30 Team Bases. Each Team Base will consist of an outdoor training venue, indoor training venue, swimming pool, gym and a hotel. RWC 2025 will be appointing a Team Base Coordinator to each city to support the operations of the Team Bases within that city during the tournament.

Reporting into the Workforce Manager, the Northampton Workforce Venue Manager will manage the day-to-day workforce operations on venue at Franklin’s Gardens. The ‘workforce’ for the Women’s Rugby World Cup 2025 includes all paid staff, volunteers and contractors required to deliver the tournament.

LIST OF KEY DATES

Role will be required for specific days in June and July, then a period of planning within the LOC, before undertaking an onsite role in Northampton during August and September for the tournament. Please note the following required dates ahead of the 14th July Start Date:

  • Mon 2 June or Mon 30 June - Orientation
  • Wed 11 June or Fri 13 June - Role Specific Training
  • Thurs 3 July - Readiness Simulation & Desktop

TASKS AND RESPONSIBILITES

  • Manage all aspects of workforce operations for Franklin’s Gardens, ensuring adequate staffing levels across all functional areas.
  • Plan and deliver Venue Specific Training (VST), as well as any additional briefings or training sessions required to ensure all workforce understand their roles and responsibilities as well as key safety and security details.
  • Manage paid staff and volunteer schedules & rosters in the Tournament Management System (TMS), and produce effective reporting to inform workforce operations.
  • Oversee volunteer communications, assisting with queries and issue resolution in a timely manner.
  • Liaise with key FAs on any workforce updates including accommodation, accreditation, catering and transport.
  • Act as the main point of contact for workforce-related matters on venue including any HR or staffing issues.
  • Coordinate check-in, just in time training/briefings, deployment and break procedures for paid staff and volunteers.
  • Oversee workforce welfare, including provision of meals, rest areas, and transport where applicable.
  • Manage any necessary distribution of uniform and reward and recognition items to workforce, along with effective dissolution post tournament.
  • Monitor workforce operations and provide real-time problem-solving during tournament time to ensure high service levels.
  • Support compliance with workplace safety standards and workforce policies and procedures.
  • Prepare post-event reports for Northampton, including feedback, attendance figures, and incident summaries.
  • Support with wider Workforce tasks as required to ensure the effective delivery of the Workforce functional area at tournament time.

EXPERIENCE & KNOWLEDGE

Essential
  • Previous experience managing workforce operations on venue
  • Volunteer management experience
  • Coordinated project plans for complex, multi-faceted events
  • Planned and delivered effective training sessions for diverse teams
  • Familiarity with workforce management systems or experience of learning to use new systems quickly and effectively
  • Skilled in scheduling and rostering staff to meet operational demands efficiently
  • Experience dealing with and responding to a high demand of clients and/or stakeholders
  • Proven people management, customer service and conflict resolution skills
  • Proficient in MS Office (Excel, Word, PowerPoint)
  • All applicants must have a current and valid right to work in the UK
Desirable
  • A HR, Events or Sports Management related degree
  • Strong understanding of health & safety and emergency procedures
  • Knowledge of UK labour laws and shift compliance

Accordingly, if you are successful for the role, you will need to enter into a contract for services as a PAYE worker (or limited company contractor) with this third party.
