On behalf of Deutsche Bank, we are looking for an Events Coordinator for an initial 6 month contract based in the Banks Moorefield offices on a hybrid working pattern of three days per week in the office, and two from home, on a PAYE day rate engagement.

Purpose of the role:

Working as part of the Capital Markets Roadshow team, you will be responsible for the planning and organisation of client roadshows.

Key responsibilities:

  • Arrange logistics for all virtual & in-person roadshows, investor meetings, group conference calls and client results calls.
  • Direct and close liaison with the deal team and client assistants.
  • Own & create the roadshow schedule template and manage all updates as the roadshow progresses.
  • For all in-person roadshows, manage necessary logistics including travel, hotels & ground transportation, as well as venue search, catering, hostess, AV & dial-ins, and coordinate the delivery of presentation materials.
  • For all virtual roadshows, manage the necessary tech logistics including all 1x1 / small group meetings held via Teams and / or Zoom.
  • Assist the deal team in setting up all necessary data-sites and organising any necessary roadshow presentation recording sessions in association with these data-sites as required.
  • Responsible for sharing all post event reports with the deal team - call participant lists & physical attendance lists from in-person events.
  • Managing all deal related expenses post event to ensure clients are billed efficiently, and the Bank is reimbursed in a timely manner.
  • Liaising with the deal team to ensure all deal case studies are shared with the relevant internal mailing distribution lists.
  • Upkeep of knowledge of new venue openings & roadshow suppliers.
  • Organisation of additional ad-hoc events for Capital Markets as requested. This may include client events, client entertainment and internal department events.

Key responsibilities within the Capital Markets Conference:

  • Supporting all client invite & distribution lists, working closely with internal stakeholders across relevant departments (Capital Markets).

Skills and Qualifications:

  • Previous Roadshow and Event coordinator experience from within a similar financial institution, or previous experience working as an Executive assistant within another Investment Bank may be considered.
  • Experience organising travel, including booking conference suits and supporting with other event organisation as required.
  • Good administration skills and the ability to work with internal stakeholders across various departments.
