Spire Hull and East Riding Hospital are looking for an experienced Administrator to join their Medical Records department who can provide a high level of customer service to their patients and enhance their administrative skills within a private healthcare environment. You will be working on the Bank team so you will be able to be flexible.

Duties and responsibilities:

  • To undertake medical records creation, retrieval of notes from the NDC and re-filing on to shelves, keeping 6 weeks' worth of notes on site at all times.
  • To prepare records for new patient admission and retrieve, in good time, records of patients who have visited us previously so as they are ready to be consulted on the admission of the patient.
  • To ensure that all medical records are kept in accordance with the systems and procedures of the department. All filing is to be carried out in accordance with these procedures to ensure that records can be easily accessed by all members of the team.
  • To remove from the shelves any notes that are more than six weeks old and return them to the NDC in accordance with procedure in order to ensure that these are transferred securely and patient information is protected.
  • To manage and record medical record requests from interested parties. These requests are to be recorded on an appropriate spreadsheet and responded to within 4 weeks of receipt.
  • Day to day administrative duties to ensure the department functions successfully.
  • To provide the relevant In-Patient and Out-Patient medical records within the agreed timescales on a daily basis.
  • To liaise with the NDC and make effective use of O'Neils (RSweb) to request retrieval of files from the NDC on a daily basis.
  • Retrieve and print off all relevant patient information, including admission lists and labels, from SAP software and to be competent in the use of such software.
  • Ensure compliance with information governance and data protection regulations and legislation to safeguard patient confidentiality and prevent any information governance/data protection breaches.
  • To link any correspondence received to the appropriate patient file prior to the file being returned to the NDC for storage.
  • To function and perform well as part of a team to ensure that all of the duties of the department are carried out in such a way so as to support the hospital's goal to be the best private provider of quality healthcare.
  • To complete all mandatory training and information governance training promptly.
