The Space Planning & Move Co-Ordinator role includes but is not limited to the following tasks:
- Delivering space planning rearrangements.
- Planning and implementing move projects, tasks, and move layout designs.
- Managing day-to-day small moves, office reconfigurations, and new furniture requests.
- Generating tasks and requests for maintenance or services that are related to moves.
- AutoCad Experience is essential.
Qualifications / Experience:
TECHNICAL EXPERTISE / KNOWLEDGE / QUALIFICATIONS
- The core skills required of all resources are space planning, stakeholder engagement and contractor management, move management and knowledge of the building regulations in relation to office design.
- Interior Design or architectural skills will be an advantage but not essential.
Operational:
- Build strong relationships with the Stakeholders and Project managers to gain a knowledge of coming works.
- Schedule works to provide best value for the client and customer.
- Keep Moves tracker document up to date at all times.
- Ensure that POβs are raised and tracked before work takes place.
- Provide regular updates on workload and pipeline works to the MAC & Space Planning manager.
- Monitor workloads and report when resource is over or under utilised.
- Process management for MAC, including maintaining all processes within a live system.
- Liaising with Delivery Managers and vendors.
- Ensure all completion documentation is in place and filed following completion of projects.
- Attend weekly coordination and scheduling meetings and be comfortable presenting updates.
- Approval of e-permits, access permits, and contractor RAMS for small works.
Managing Risks/ Opportunities and Issues:
- Analysing all significant risks and making recommendations or initiating corrective action as appropriate.
Sign off gatekeeper:
- Ensuring that all works have financial approval before added to the schedule of works list.
- Track direct costs, as well as ISS costs.
Client Relationships:
- To maintain day to day contact with Client representatives / stakeholders to review and resolve operational matters.
- To respond rapidly to short term operational issues.
- Provide regular updates and management information on financial issues.
Safety/Environment:
- To bring to the teamsβ attention any safety issue.
- To conduct day to day operations with due regard to environmental standards, legislation, and regulatory requirements.
Quality:
- To ensure that the highest quality standards are applied in all areas of day-to-day activity in order to satisfy and maintain ISS defined standards and the requirements of external quality verification.
Experiences:
- Demonstrate experience in the use of Computer Aided Design (CAD) Auto Cad software.
- Demonstrate experience in delivering space planning rearrangements.
- Demonstrate an understanding of Building Regulations.
- Demonstrate experience in managing financial tracking and operations.
- Demonstrate experience of estimating project costs, and presenting high quality cost documents to customers.
- Demonstrate experience of managing and coordinating move projects.
- Demonstrate IT literacy capability for software application with full literacy with Microsoft Office suite including Teams.
- Demonstrate experience of managing time to deliver quality information to stakeholders.
