Job Title: Project Manager – Document Lifecycle Management (SharePoint Online) Location: Hybrid / Birmingham Salary/Rate: £600pd Inside IR35 Start Date: 01/06/2025 Job Type: Contract Company Introduction Our client Technology Services project team has a requirement to implement Content lifecycle management for unstructured content. Its mission is to gain control over unstructured data in SharePoint Online and create transparency about their content landscape and its associated risks, we enable the user to: Identify critical documents and manage content risks more efficiently. Establishing governance practices and defining ownership & responsibilities. Minimising redundant & obsolete content and manage the content lifecycle in compliance with internal & external policies/regulations efficiently. Our client currently has data stored in various environments such as file shares and SharePoint Online sites. The aim of this project is to implement tools and processes to manage the document lifecycle of this type of content on SharePoint Online. The project will review and capture the current document management as-is situation. From there, it will define a future way of working, which may entail implementing new business processes and sourcing new IT Solutions to meet the future document lifecycle management requirements. Job Responsibilities/Objectives The external consultant will independently lead and support the implementation of content lifecycle management for unstructured data in SharePoint Online. Key responsibilities include: Coordinating project meetings, steering committees, and stakeholder engagement across business and vendor teams. Providing expert guidance on ECM, including metadata usage, retention policies, archiving, and deletion. Aligning document lifecycle processes with data protection, security, and compliance requirements. Driving change management and user adoption of new document handling practices. Preparing project documentation (e.g., decision papers, change requests, reports) and maintaining risk and issue logs. Defining current vs. future document management processes and supporting procurement of relevant tools. Overseeing delivery, integration, and sustainability of sourced solutions in collaboration with internal service owners. Required Skills/Experience The ideal candidate will have the following: Experience with ECM projects, particularly File Services Modernisation and SharePoint Online Modernisation. Deep understanding of document lifecycle management, including classification, retention, archiving, and deletion. Strong knowledge of SharePoint Online as a platform for document and content management. Ability to assess unstructured content risks. Experience establishing governance frameworks, roles, and responsibilities for content ownership and compliance. Ability to create and maintain project documentation: project plans, decision papers, change requests, and status reports. Strong Stakeholder Management Supporting project audits through structured documentation, tracking, and reporting. Procurement & Vendor Coordination Able to define tool requirements and supporting procurement processes. Working with vendors to deliver and implement Document Lifecycle Management (DLM) solutions.
