This is a new role at our Driffield office, we are seeking an Executive Assistant to work closely with our Managing Director and Leadership team to provide high level administrative support. The role is 3 days a week (24 hours). We would also consider a 4 day working pattern. You will play a vital role ensuring the department is organised and as productive as possible. This position requires strong attention to detail, excellent IT skills and organisational skills.

Responsibilities
  • Efficiently manage and coordinate the Executives’ calendars, including scheduling meetings, appointments, and travel arrangements (including booking accommodation).
  • Anticipate scheduling conflicts and proactively resolve them.
  • Act as the primary point of contact for internal communications.
  • Liaise with the Chairman’s Executive Assistant to prioritise actions.
  • Foster a positive and inclusive culture which mirrors that of the Executives: promoting teamwork, collaboration and engagement, providing guidance and support where necessary.
  • Draft, edit and send correspondence, emails, and other documents as required on behalf of the Executives.
  • Work closely with the wider team to ensure all Executive Team projects/events are delivered efficiently and effectively.
  • Handle administrative tasks such as expense management, and document organisation.
  • Prepare and finalise project correspondence, presentation materials and slide packs for meetings.
  • Maintain confidentiality and handle sensitive information with discretion.
  • Coordinate project-related tasks and ensure deadlines are met.
  • Attend meetings, take minutes, distribute them in a timely manner and keep record of actions that are closed out.
  • Identify areas for process improvement and assist in implementing streamlined procedures to enhance efficiency.
Qualifications and Skills:
  • Strong IT skills.
  • Experience in a similar PA/EA role.
  • A goal-oriented mindset and good organisational skills.
  • Ability to maintain confidentiality and handle sensitive matters.
  • Excellent attention to detail and accuracy.
  • Good verbal and written communication skills with the ability to interact professionally with internal and external stakeholders.
  • Ability to work both independently and collaboratively in a team environment.
