My client is an Independent Financial Advice firm with offices in Norfolk and Suffolk, they have been trading for almost twenty years. First and foremost, they value their clients and serving them to the best of their ability by giving them unbiased holistic advice on a range of products.
The hours of work will be 37.5 hours, Monday – Friday based in my client's office just ten minutes east of Norwich’s outskirts.
PA and general admin duties
- You will organise and diarise meetings on behalf of the advisers.
- You will work with the advisers to prioritise tasks.
- You will answer calls and email queries as appropriate and act on all non-technical queries.
Client servicing and meeting preparation
- You will use appropriate systems and processes to submit new business to providers.
- You will assist with the preparation of meeting packs for client meetings including for new business and annual reviews.
- You will prepare illustrations, valuations, application forms and other documents for client signing or approval.
- You will submit fund switches, rebalances, new business, etc. with a number of different platforms and providers.
- You will liaise with product providers to ensure all applications are received and completed. Attend to outstanding requirements, keeping other members of the team informed, as necessary.
- You will analyse existing products including investments, pensions, protection, mortgages, and equity release.
- You will conduct product and fund research.
- You will prepare suitability reports of varying complexity for adviser approval.
- You will schedule and manage follow-up tasks relating to client meetings and business submissions using Intelligent Office to monitor and accurately record tasks.
- You will ensure all client information (including meeting notes) is accurately maintained on Intelligent Office and other systems where appropriate.
- You will ensure client agreements, service propositions, etc., are in place and are signed, documented, and saved to Intelligent Office.
- You will assist the team in complying with FCA and internal compliance procedures, ensuring all client files and information remain compliant and confidential.
- You will record and file all relevant correspondence.
Required skills and experience
- 3+ years’ experience in an IFA administration role (desirable).
- Sound technical knowledge covering pensions, investments, and protection. Mortgage and equity release knowledge (desirable).
- Demonstrable experience of delivering client service at the highest level.
- Sufficient understanding of the needs of Financial Services teams, FCA rules, and compliance in order to effectively carry out the role.
- Relevant industry qualifications (desirable).
- Learn quickly and have the confidence to take responsibility for own workload.
- Work to pressing deadlines, being personally resilient and able to handle the pressure of a busy team, a demanding workload, and complex client needs.
- Assist the adviser team and clients in an enthusiastic and proactive manner, using organisation, time management, and prioritising skills.
- Work well under own initiative, with a common-sense approach to problem solving.
Compensation and Benefits
- From £21,000 to £27,500 depending on experience and qualifications.
