Job Summary

The role involves providing comprehensive administrative support to the Commercial department, ensuring effective communication with colleagues and stakeholders. Key responsibilities include coordinating system data, performing data entry, collating data from stakeholders, and maintaining data integrity and quality through collaboration. Additional duties include diary management, data collation, and reporting.

The ideal candidate should have proficiency in Microsoft Office tools, particularly Excel, along with strong attention to detail and the ability to prioritize tasks effectively. Previous experience working with systems, excellent written and verbal communication skills, and prior office environment experience are desirable. The role also requires a willingness to learn and an interest in working with spreadsheets and systems. Occasional travel may be required with prior notice, demonstrating the need for flexibility and adaptability.

Main duties of the job

In this role you will provide office administrative service to the Commercial department nationally. Your day to day responsibilities will include:

  1. Liaising and communicating effectively with colleagues and other departments, outside agencies, and professional bodies, in a mature and professional manner, recording and communicating difficult information by telephone, email or paper correspondence, always ensuring confidentiality of information.
  2. Coordinating multi-disciplined projects or meetings, collecting, collating, and circulating relevant information.
  3. Managing schedule of reports, audits, and other key activities, alerting manager to urgent priorities and deadlines.
  4. Collating data from a variety of sources and manipulating and reporting as required.
  5. Coordinating and managing one or more diaries either electronic or paper-based.
  6. Organising training events, i.e. book room, speakers, and lunch.
  7. Prioritising own work using precedents and guidance from the manager.

On occasions, you will be required to travel and spend time away from base, with appropriate prior notice.

About You

Experience and Knowledge

  1. Experience of working with information technology using Microsoft Office packages (Outlook, Word, Excel, Teams and PowerPoint).
  2. Demonstrates working experience with computer packages, including word processing, databases, and spreadsheets.
  3. Proven experience of communicating effectively, using a variety of methods, including an excellent telephone manner.
  4. Previous experience of working in an office environment in a relevant role.

Qualifications and Training

  1. Possess ECDL Advanced qualification or willing to work towards.
  2. Possess GCSE qualifications in English & Maths grade C or above.
  3. Demonstrates commitment to own continued professional development (CPD).
