Role & Responsibilities:
- Assist the manager with training, supervision and monitor of the reservations team.
- In the manager's absence run the department and make sure that team members are following procedures.
- Manage reservations checklist for smooth running of the reservations department and assign reservations task to reservationists.
- Provide training on individual and group bookings for new and existing team members.
- Set goals and objectives for Reservations team members.
- Assist Reservations Manager with recruitment of new team members.
- Assist manager with rotas and the submitting of time and attendance on fourth.
- Run spa occupancy checks and ensure correct close outs are put on spa booking platforms.
- Manage the department in the absence of the Reservations Manager including attending weekly HOD meetings in each of the hotels.
- Assist the reservations manager and revenue manager to motivate the team to drive sales and meet targets, updating commission and incentive charts.
- Work as part of a team to ensure all individual and group reservations are inputted accurately and concisely into the PMS, in accordance with company rules and procedures.
- Efficiently answer all calls enquiring about reservations and assist others in the department as necessary.
- Process group reservations including putting the rooming list in the system, looking after the group requirements, sending group invoices, and closing the group masters.
- Ensure credit facilities/payment procedures are adhered to by the team and follow company procedures.
- Assist Accounts and reception staff in ensuring that all billing is correct.
- Liaise and communicate special requirements to other departments e.g., Cots, VIPs, and late arrivals.
- Assist in all communications and meetings between Reservations and other departments to ensure follow-up of issues raised during those meetings.
- Ensure a consistently high level of quality and service is always provided by following all procedures in place.
- Handle complaints efficiently and professionally, adhering to company policies and procedures.
- Ensure the handling of all aspects of individual and group reservations is efficient and prompt.
- Key holder for premises.
- Any other duties as required.
