We’re looking for four ambitious Awards Assistants to join our Awards and New Blood team on a temporary basis. It’ll be your job to help with customers’ enquiries and assist in collecting the credits for the winning pieces, making sure they are of the right and highest standard for publishing. Key Responsibilities Customer Enquiries Deal confidently and efficiently with incoming and outcoming entry queries. Which includes dealing with entry queries via phone calls and emails, taking messages, and supporting the Awards and New Blood teams during busy periods. Provide a high level of customer service to entrants. Use the query database to log and resolve all queries. Ability to work with entrants, find out their needs and objectives and offer support on entry. Assist the Business Development team in various aspects of the Awards Entry process, which involves coordinating with Awards entrants and liaising with the Business Development Representative. When required, assist the Business Development team to make outbound calls/emails to companies and individuals who may potentially enter the Awards. When required, make outbound calls to contact tutors and entrants with outstanding New Blood entries. Rankings and Credits Collection Working with the Operations lead ensuring our systems are displaying up to date and correct credit information. Supporting with the preparation of the Awards Rankings 2025 Checking credits (individual and company names) ensure they’re accurate and free of errors. Cross reference data to ensure there is a consistent structure across all entrant data. Liaise with winning companies regarding credits and media assets of their work, making sure those are submitted on time. Use the database to check and correct credits and images and correct errors and inaccuracies. Proof winning credits ensuring the right information is populated against all winning entries. Contact agencies and studios where necessary to validate information. Researching credits that are missing or have not been supplied by entrants. Other Duties If required: support other Production Assistants across the Professional or New Blood Awards during busy periods. Reviewing winners’ information on the website to ensure accuracy and that all assets are correctly uploaded. Conducting quality checks on ceremony reels to confirm they are error-free and meet standards. Administrative support for the Awards Ceremony. Provide feedback to aid the review and development of all awards products. Additional administrative tasks as required Key Experience and Skills Excellent proactive customer service both verbal and written. The ability to work both independently and cohesively as part of a team. Strong attention to detail and an ability to be flexible within all work matters. Ability to work effectively under pressure and to tight deadlines. Flexible approach to working hours, especially during our judging period. Computer literacy-highly proficient in G Suite and MS Office. Working Knowledge of Adobe CC is desirable but not essential. Fluency in a second language would be a plus, ideally Spanish, Portuguese, Japanese, or Mandarin. Previous experiences with CRM software (ie, HubSpot), desirable but not essential. Personal Qualities Comfortable working as part of a team. Strong research skills Close attention to detail Proven ability to be organised and attentive to details. You love to learn and are excited by the prospect of a diverse workload. Strong communication skills. Keen interest/knowledge of the creative design and advertising industries.
