Working Thursdays and Fridays 07:30-17:30, to be the face of DCS and first point of contact for the company. To ensure that all calls received are answered promptly. To meet and greet visitors at all levels and ensure that administrative duties are completed with accuracy and delivered with high quality in a timely manner. Expected to be well presented, organised and friendly.

Key Tasks:

  • Welcoming visitors, directing, and announcing them appropriately.
  • Ensure all visitors are signed in, provided passes, and made aware of the relevant DCS policies, including providing them with refreshments.
  • Maintain security and ensure that the Reception welcome screen is updated with visitors due to site.
  • Promptly answer, screen and forward any incoming calls whilst providing accurate details from the caller.
  • Manage queries from the public and customers.
  • Receive and organise daily post/deliveries/couriers – (excluding Directors/HR/Private and Confidential mail).
  • Providing ad-hoc administration to Customer Service Department, posting of samples, and dealing with staff orders.
  • Support PA in her absence – hotel/flight/airport parking arrangements for MD, coordinating lunches, stationery ordering, and organising high-level meetings including circulating agendas and collating presentations.
  • Always maintain Reception Area tidy.

Minimum Requirements:

  • Educated to a minimum level of GCSE in Maths and English or equivalent.
  • Intermediate level of computer literacy including Excel, Word, Outlook, PowerPoint; knowledge of Sage is an advantage.
  • Proven Customer Service Skills.
  • Previous experience in a similar role.
  • Excellent administration/organisational skills.
  • Calm and collected exterior.
  • Professional personal presentation.
  • Ability to communicate at all levels.
  • Accuracy and attention to detail essential.
  • Self-motivated and flexible to change.
  • Ability to build relationships and liaise effectively with a variety of networks.
  • Ability to work as part of a team.
