Document Controller – c£35,000 Benefits include – Monthly office lunch and drinks, Contributory pension scheme, Access to GP advice, Employee support programme, CPD talks, Profit share An award-winning architecture practice is looking for an experienced document controller to join them in this newly created position. The role is based in their offices, close to Old Street. Hours 9:30-6pm with an immediate start available. Working closely with the design, BIM and support teams you will be providing document control and project coordination, initially on a major project currently at RIBA stage 4. You will be responsible for managing the project documents and ensuring all quality procedures are followed. This is an exciting opportunity to join this established friendly and collaborative practice. The successful candidate will need to demonstrate document control experience coming from the design and construction industry. Experience and understanding of EDMS and CDE’s, ideally including project extranet sites – Asite, Aconex, Viewpoint for projects, and Union Square. An excellent eye for detail, strong organisation skills and the ability to work well to tight deadlines. You will be able to manage your own time proactively and equally enjoy working as part of a team. Your responsibilities are varied and include: · Working closely with the project team to ensure deadlines and expectations are met · Ensuring the timely, accurate and efficient registration of incoming and outgoing documents, including drawings, reports, specifications, schedules, RFI’s and other submittals · Accurately filing, distributing and tracking documents for review and comment · Ensuring all drawing and document revisions folders are created and filed correctly · Retrieving project documentation as requested by project teams, clients, and other external project team members · Assisting in the organisation and co-ordination of drawings and documents in preparation for issuance and project deadlines · Quality checking drawings and documents for inconsistencies, ensuring the company’s requirements are met prior to issuance · Issuing drawings, reports, specifications and schedules to clients, design team members, suppliers, and contractors via the document management system (Union Square) · Uploading and downloading drawings and documents from project extranet sites Common Data Environments (CDE’s) · Liaising with external document controllers to resolve any issues relating to project extranet sites Common Data Environments (CDE’s) · Preparing, reviewing, and regularly updating project document control guides including extranet site login details, workflows, troubleshooting mechanisms and key contacts · Being knowledgeable in the life cycle of a drawing and information status’s relating to each project phase · Attending project team meetings and contributing as needed · Conducting regular audits of documents to ensure compliance with internal and external standards. · Working closely with the BIM Manager and Studio Manager to improve document control procedures and develop best practice templates for future use · Assisting others with other project administration tasks as required · Maintaining confidentiality around sensitive information within the terms of each project agreement IDA Recruitment Ltd specialises in office support recruitment across London.
