This is a varied role providing secretarial, administrative, and general office support to the team to ensure the office runs smoothly and efficiently. This role is a 5-day week in the Faversham office. Consult Construct wants to promote effective communication and provide consistency to our team and suppliers by having a contact in-house that is present 5 days a week, so it is important that the Administrative Assistant is permanently office-based.
- Greet visitors to the office offering refreshments.
- Responsible for the social media posts on the Company website, LinkedIn, Facebook, Instagram, and Twitter to include project/case study updates (2 posts a week max).
- Ensuring news is fresh on the company website and circulating weekly newsletters to our team in-house.
- Deal with the incoming and outgoing post including couriers.
- Answer the telephone, take messages, and deal with enquiries.
- Photocopying, binding, electronic filing, and archiving.
- Ensure the correct templates and standard letters are used to support surveyors.
- Typing β including audio typing.
- Order the office stationery and refreshments supplies.
- Manage and oversee the shared surveying equipment to know where each asset is at all times.
- Manage the printers, stock, and office stationery ensuring printing issues are dealt with promptly.
- Diary management to book training and events for surveyors.
- Monitor the info@ email inbox and action emails.
- Assist with arranging meetings to support the team.
- Will be trained to open new project files using the Xero finance package.
- General ad hoc duties to provide support to the whole team, as required.
- Assisting the team to ensure the companyβs Quality Management System and standards are met.
To be able to work 5 days a week in our Faversham office. Confident and personable to meet and greet. Competent in using the Microsoft Office suite. Good working knowledge of posting on social media professionally. Working knowledge of Xero would be beneficial although training will be given. Be a team player and able to pick up tasks in colleagues' absence and assist the team with company priorities. Keen eye for accuracy of tasks. Excellent verbal and written communication, and be able to present the finished article confidently. Well spoken and friendly helpful manner. Organised and the ability to multitask.
This is a permanent office-based position. Salary is negotiable according to experience. Discretionary Profit & Performance Related Bonus Scheme, after probation period is completed. Working Monday to Friday 9.00 am to 5.30 pm in the Faversham office. 25 days holiday, plus bank holidays and birthday off. Private Medical Insurance. Cycle to Work Scheme. Electric Car Scheme. Team events & days out - i.e., Beach Day, team building days, etc.
