We are working with one of the world’s leading European Patent and Trademark firms, known for its high-calibre client base, collaborative culture and forward-thinking approach. This is an excellent opportunity for an experienced Patent Administrator to join a dynamic and respected team in the London office. The successful candidate will play a pivotal role in supporting fee earners and clients across a wide variety of patent matters.

Key Responsibilities
  • Preparing and processing standard and ad hoc correspondence related to patent matters
  • Drafting and amending letters, emails and specifications as instructed
  • Managing deadlines, formalities and filings for UK, EP and international patent applications
  • Using Inprotech and other systems to maintain accurate electronic records
  • Actioning incoming communications including updates from the EPO mailbox
  • Supporting validation of granted patents and handling related documentation
  • Monitoring, updating and clearing due dates and key deadlines
  • Preparing and submitting invoices, credit notes and WIP adjustments
  • Updating client databases and assisting with client reporting requirements
  • Providing administrative support such as arranging meetings and managing diaries for fee earners
  • Liaising with clients and overseas attorneys when required
Skills and Experience Required
  • At least 3 to 4 years’ experience working in a patent administration or formalities role
  • CIPA Certificate in Patent Administration (essential)
  • Excellent organisational skills and strong attention to detail
  • Proficient with Inprotech or other IP records systems
  • Able to manage multiple deadlines with minimal supervision
  • Good communication and interpersonal skills, with a proactive and professional manner
  • IT literate with sound working knowledge of Microsoft Office
  • GCSEs (or equivalent) in English and Maths as a minimum; A-levels or higher education desirable
