Project Overview: The Kilns 3&4 Project is Urenco ChemPlant’s Tails Management Facility expansion project here in the UK. Urenco have chosen Bechtel as the Contractor to help deliver the expansion project.

Job Summary: In this role, you will provide document and records management support and assist with establishing work processes. You will assist with the ECMS (Enterprise Content Management Systems), integrations, reports and Power BI dashboards. You will support your team with quality checks, resolving issues, providing software training, metrics, and planning. Your work will help ensure efficient and accurate management of documents and records. The Records Management Coordinator will receive supervision from the Project Information Manager. They will provide a service to effectively support activities related to both records and document management and assist in ensuring quality and security aspects are maintained efficiently. The RMC may be required to travel between work sites if requested whilst providing support to the Project.

Major Responsibilities:

  • Collaborative working with and amongst different stakeholder teams.
  • Support document management activities.
  • Support the recording and management export-controlled information records.
  • Provide guidance to teams on best practice document management, and appropriate use of information systems.
  • Reconcile data and documents between different systems and identify gaps based on the processes outlined.
  • Manage and continuously improve the approach to monitoring and maintaining accuracy and quality of Meta data, suggesting improvements to processes where appropriate.
  • Engage in the management of how records to be handed over to customer are captured and maintained.
  • Implementation of work processes to collect, organise and deliver data to support project completion.
  • Provide assurance on subcontractor information processes and systems and ensure compliance with requirements.
  • Producing technical reports and briefings.
  • Promote equality in the workplace and adopt appropriate behaviour when interacting with colleagues.
  • Take necessary care to properly protect confidentiality, integrity and availability of corporate information from unauthorised disclosure, modification or destruction.
  • Never knowingly put Client’s information or information systems at risk.

Education and Experience Requirements: Requires bachelor's degree and relevant experience. Demonstrable experience in performing in an information or document management role as well as the ability to demonstrate advanced proficiency using Microsoft Access, Excel, Visio, and Word. Project-based experience performing document/records management with a focus on maintaining export-controlled information and handover records. At least 2 years’ current experience in a similar project environment. Previous experience working on technically complex projects where regulatory compliance is key.

Required Knowledge and Skills: Must have significant experience in using 2 or more industry known content management systems. Must be able to work well in a complex team environment and follow through on initiatives. Must be able to share knowledge and contribute to the project and team goals. Must possess and be able to demonstrate a high degree of individual initiative, discretion, and diplomacy. Must be familiar with UK regulation and legislation as it relates to records management and information security. Must be flexible and able to accept and quickly adapt to changes in work focus. Willingness and ability to travel to a different site for meetings.
