About the Team: The Enterprise Services Team is the face of TikTok USDS in the workplace, helping to deliver exceptional guest experiences that bring the TikTok brand to life. They serve as a daily resource to employees, clients, and business partners by effectively managing workplace needs and acting as enthusiastic brand ambassadors. The ideal candidate has a passion for creating best-in-class experiences and takes pride in creating a dynamic space to foster and nurture professional inspirations. This role reports to the Head of Enterprise Services and acts as a key point of contact for managing daily office operations in our London office, ensuring a seamless and efficient office experience. Responsibilities include providing support to teams, managing real estate, facility management, procurement, wellbeing, and employee experience, and ensuring the office operates effectively and efficiently.
Responsibilities:
- Manage office logistics, facilities, and vendor relationships to ensure high performance and effective service delivery.
- Establish and maintain operational budgets, working closely with finance.
- Handle insurances, local permits, and business licenses, ensuring timely renewals.
- Manage local purchasing, vendor RFPs, negotiations, and onboarding.
- Manage internal communications to the London teams.
- Support regional initiatives and organizational efficiencies.
- Ensure compliance with health and safety regulations.
- Project management of office enhancement projects.
- Support other operational tasks as needed.
Culture & Employee Experience:
- Foster a positive, high-performance culture aligned with organizational values.
- Manage onboarding and meal programs.
- Organize company events, team activities, and recognition programs.
- Act as the main contact for Workplace Experience matters.
Health & Safety:
- Protect health and safety of all in the office environment.
- Ensure compliance with environmental health and safety policies.
- Manage fire risk assessments, occupational health assessments, and emergency plans.
- Train staff as Fire Wardens and First Aiders.
- Manage incident reporting.
Minimum Qualifications:
- 5+ years in Office Management, with emphasis on real estate, facilities, purchasing, and operations.
- Self-starter with ownership, accountability, and ability to work independently.
- Strong organizational skills and attention to detail.
- Commitment to inclusivity and psychological safety.
- Problem-solving skills and ability to complete tasks within timeframes.
- Proactive communication and escalation skills.
Preferred Qualifications:
- Extensive experience in Office Management, real estate, facilities, and operations.
- Strong communication skills and experience in policy implementation.
