Role Overview: Studio 99 is seeking a full-time Documentary Production Coordinator to join their editorial team at their Marble Arch office, five days a week. The role requires experience in documentary development, filming, editing, and post-production. The ideal candidate will possess excellent organizational and administrative skills, be comfortable with numbers and logistics, proficient in Excel, and capable of multitasking while maintaining a positive, calm attitude in a fast-paced environment.
Responsibilities:
- Issuing and managing NDAs for signature
- Onboarding teams and new starters
- Preparing draft employment and supplier contracts
- Processing invoices, checking details, and obtaining approvals
- Managing talent databases, sourcing, and vetting local crew and production teams
- Reconciling expenses, assisting with budgeting, and updating cost managers
- Sourcing locations and obtaining permits
- Creating call sheets and drafting risk assessments
- Booking travel, visas, couriers, hire cars, and accommodations
- Booking production equipment and managing carnets
- Obtaining releases, archives, and music clearances
- Measuring and calculating project carbon footprints
- Attending and assisting on shoots as needed
- Performing general admin tasks including filing and organization
- Managing data, archiving jobs and assets, creating logs
- Handling post-production and delivery paperwork
- Managing US and UK payroll
- Diary management and meeting preparations
Minimum Requirements:
- 1-2 years experience as a documentary production coordinator on premium feature documentaries and docuseries, covering development, filming, editing, post-production, and delivery
- Strong administrative and organizational skills
- Ability to multitask, plan ahead, and meet deadlines
- Proactive with good self-management skills
- Team player with the ability to stay calm under pressure and maintain a positive attitude
- Willingness and desire to learn and progress
Technical Skills / Qualifications:
- Experience with Adobe and MS Office (Word, Excel)
- Desired but not essential: experience with Moviemagic
- Desired but not essential: experience with Albert Sustainability
