Position: Executive Officer – PA Support, Invest NI

Pay Rate: £14.50 per hour

Hours: Full time, 37 hours per week

Start Date: As soon as possible

Length of Contract: Temporary ongoing

Hours of Work: 9 to 5 Monday to Friday

Job Duties:

  • The post holder will provide high-level support to the Director and coordinate multiple activities, often under time pressure and conflicting demands.
  • Providing high-quality customer service aligned with organisational values, ensuring accurate, timely, clear, and understandable information, and maintaining professionalism in dealings with internal and external customers.
  • Arranging and overseeing Divisional and Group Meetings, preparing papers, sourcing briefings, maintaining a forward plan, drafting agendas, circulating papers, attending meetings, drafting minutes, recording actions, and tracking progress.
  • Managing the Director’s strategic diary effectively, organizing meetings, handling conference calls, reviewing invitations, and monitoring the inbox for diary-related emails.
  • Managing the Director’s mailbox to prioritize, deliver, and distribute work appropriately.
  • Coordinating information requests from officials, ensuring prompt and accurate communication of decisions within set timescales.
  • Arranging overseas travel and local transport, adhering to policies, ensuring value for money, and obtaining necessary approvals.
  • Providing support to the wider Group as required.
  • Demonstrating relevant experience, including producing high-level administrative work, managing meetings, and proficient use of Microsoft Office packages.
  • Managing changing priorities and projects to ensure timely and standard-compliant completion.
  • Building and maintaining positive relationships with colleagues, customers, and suppliers.
  • Gathering, analyzing, and communicating information effectively.
  • Maintaining confidentiality and demonstrating professionalism when handling sensitive cases.

Requirements:

  • 5 GCSEs including Maths & English
  • 2 A-Levels in separate subjects with certificates to be shown
  • The successful applicant will be required to complete an Access NI check during registration.
