Purpose:

This is an exciting opportunity for an enthusiastic and motivated individual to gain valuable experience in business administration and customer service within our Customer Liaison (Complaints) team. The successful candidate will support the department with essential administrative duties, contribute to the efficient handling of customer complaints, and assist with day-to-day office operations. This apprenticeship offers hands-on experience, training, and development opportunities, helping you build a strong foundation for a career in customer service, administration, and business support.

Role Profile:

Administrative Support:
  • Perform general administrative tasks to support the Customer Liaison team and senior management.
  • Maintain and update spreadsheets, ensuring data accuracy and integrity.
  • Assist with data gathering, reporting, and documentation.
  • Ensure the customer support mailbox is monitored daily, responding to queries promptly and professionally.
Customer Liaison & Complaint Handling:
  • Be the first point of contact for new complaints, ensuring all details are accurately recorded in our complaint management system to maintain a comprehensive audit trail.
  • Handle incoming calls and emails professionally, responding to customer enquiries efficiently.
  • Assist in managing complaints within company systems, ensuring timely progression in line with internal Service Level Agreements (SLAs).
  • Demonstrate a commitment to delivering a first-class service to customers, clients, and repairers.
  • Work alongside senior team members to develop best practices in complaint resolution.
Process Improvement & Reporting:
  • Participate in team meetings, training sessions, and workshops to enhance knowledge and skills.
  • Support in identifying opportunities to improve customer service processes and complaint-handling procedures.
  • Assist in preparing reports and analysis to support departmental performance and decision-making.
  • Ensure daily tasks and responsibilities are completed within agreed SLAs.
Office & Reception Support:
  • Assist on reception when required, welcoming visitors, handling stationery and stock orders, and ensuring meeting rooms are prepared.
  • Provide general office support, including scheduling, preparing refreshments for meetings, and other ad-hoc tasks.
  • Carry out any additional duties as required by the Senior Management Team.
