Madison Oakley is a well-respected Estate and Letting Agency based in Moorland Road and Third Avenue, Oldfield Park in Bath. We pride ourselves on providing a first-class service and endeavouring to exceed the expectations for all our clients and customers. There is now the opportunity to join our growing self-employed Partnership as a Property Manager.

The role is focused on property management which includes lettings, proactive and reactive maintenance, client accounting, compliance and administration. Training and support will be given on our systems.

Due to the nature of the role, we require a minimum of 2 years’ experience within the property management and/or lettings sector and educated to a minimum of A-Level or equivalent standard. Must have a full UK driving licence.

It is desirable to be used to working in a small team, having customer-facing experience, undertaking property inspection experience and possessing a professional property qualification (e.g. Propertymark Level 3 or CELA Level 3 or equivalent).

Main Tasks
  • Dealing with the day-to-day management of a portfolio of properties (approx. 50+) consisting of student and family/residential properties, which can include customer and client enquiries via walk-ins, phone calls, and emails.
  • Administrating office and tenant sets of keys to include, but not exclusively, all move outs, move ins, contractors collecting and dropping off keys.
  • Undertaking interim inspections during and between tenancies as required.
  • Undertaking viewings and if necessary, updating marketing material with photos, floorplans, and virtual walk-through tours.
  • Supporting and covering other Property Managers with maintenance or lettings instructions and reporting when necessary.
  • Ensuring compliance is applied to all aspects of the Lettings business.
  • Maintaining records, audit trails and client accounts, as necessary to comply with all statutory rules and regulations.

We estimate 60%-70% of your time will be spent in the office carrying out front of office and property management tasks and ad-hoc administration. Examples of some specific tasks include delivering letters, taking meter readings, testing smoke detectors, checking contractors have carried out works satisfactorily, etc. The remainder of your time will be spent undertaking viewings, visiting properties for prepping marketing material and interim inspections.

The role may develop to include participation in other similar work:

  • Helping to design office policy and implementation of new ideas, new legislation, and regulations.
  • Assisting on lettings/property management projects.
  • Undertaking lettings valuations and take-ons with prospective and current landlords.
  • Assisting in business and client accounts.

Hours are 9am to 6pm Monday to Friday with potential flexibility for the right candidate subject to adequate business cover. Holiday is 20 days per year plus bank holidays. These must be taken in conjunction with other Partners. Every consecutive 5 years of service an extra day of holiday will be added.

Salary is £31,000 to £34,000 per annum plus an annual profit share, depending on relevant experience and professional qualifications. We encourage further paid property-related qualifications refunding costs and increasing pay depending on qualification. Partners are expected to use their own vehicles with appropriate insurance cover. A mileage allowance is given for each business mile incurred.

* There is little difference between self-employment and employed status; the liabilities are the same. Our remuneration is slightly higher salary instead, because unlike a company we do not provide a pension but leave that to each person’s personal preference.
