Gillespie Macandrew is a successful independent Scottish legal firm with a strong focus on private client and property-related legal work. Our strategy focuses on 4 core sectors: Private Client, Land & Rural Business, Renewable Energy and Commercial Real Estate. To clients in these sectors, the firm offers a comprehensive range of legal services spread across 8 practice teams. With over 180 Partners and staff, we operate from offices in Edinburgh, Glasgow and Perth.
The Energy & Strategic Land team at Gillespie Macandrew is involved in some of the UK’s largest renewable energy developments onshore and offshore as well as strategic land and infrastructure.
We now have an excellent opportunity for an experienced legal administrator to become a valued member of the growing team, which includes solicitors, paralegals and trainees. The successful candidate will provide comprehensive administrative support and assist with the smooth operation of our service to clients and to the business. It is an opportunity to support with some of the firm’s most valued clients and projects. We envisage a varied workload due to the nature of our client base.
Some of the key duties and responsibilities will include:
- Managing mail, call handling and message taking, supporting our responsive team.
- Assisting with client onboarding and AML, Letters of Engagement, and related communications.
- Joining daily team calls, and some external calls, recording and assisting with action points.
- Assisting with responsive and accurate client and project reporting.
- Point person for invoicing and liaison with our financial administration.
- Assisting with Virtual Data Rooms administration and maintenance.
- Assisting with presentations and credentials for business development.
- Travel and accommodation arrangements, and team meetings/outings.
- Liaising with our management teams to ensure full and timeous compliance in all areas.
- Assisting with routine legal tasks.
- Assist with title deed administration and preparation of inventories.
We envisage the successful candidate to have experience in a similar role, ideally within a law firm or professional services environment. The role requires a highly motivated and pro-active team player with the ability to organise and prioritise workload to an exceptional standard. The successful applicant will possess excellent communication skills, both written and verbal with the ability to build and maintain collaborative and professional working relationships. It is also important for the candidates to have strong attention to detail skills with the competence to produce accurate letters, reports, presentations as well as being proficient in Microsoft Office packages. Experience with iManage document management and 3E practice management systems would be an advantage.
