A public sector organisation in Oldbury is currently looking to recruit 3.5 Service Support Officers for initial 6 month contracts with potential to extend on a rate of £13.69 - £15.58/hour DOE PAYE, working Monday - Thursday 09:00–17:30 and Friday 09:00-17:00 for full time workers (37 hours per week). For part-time (18.5 hour) vacancy, working patterns will be discussed during interviews. These roles will be office based at Headquarters in Oldbury.

Responsibilities:

  • Inputting and maintaining the order trackers.
  • Supporting with administrative tasks.
  • Typing of minutes for meetings, including scheduling meetings and distributing invites via Microsoft Outlook with MS Teams links, re-scheduling meetings, chasing documents in preparation for meetings, tracking the return of approved minutes, implementing an escalation process, and uploading minutes to the electronic records.
  • Answering incoming telephone calls to the organisation, message taking and reception cover.
  • Prioritising incoming post and messages, alerting officers and practitioners to matters which require urgent attention.
  • Maintaining files and record systems including scanning and uploading of documents.

Essential Skills:

  • GCSE Maths & English or equivalent.
  • NVQ Level 2 Business Administration or word processing/typing at RSA Level 2 or equivalent.
  • Previous office experience.
  • Minimum of 2 years practical experience of working in a busy office.
  • Planning and organising events and diaries.
  • Experience of SBS – Oracle (Finance).
  • Knowledge and ability to utilise Microsoft Office based packages (e.g. PowerPoint, Excel, Word).
  • Ability to use other IT packages.
  • A working knowledge of computer systems and financial processes.
  • Flexibility of location and working hours dependent upon the needs of the service.
  • Ability to work well with others at all levels within the organisation.
  • Self-motivated.
  • Attention to detail and accuracy of work.
  • Ability to work under pressure.
