Roles and responsibilities
As a Venue Sourcing Specialist you’ll be responsible for identifying, evaluating, and securing venues for events, meetings, or conferences. Your primary goal is to find venues that align with the event’s requirements, budget, and objectives whilst focusing on maximising profitability. The main responsibilities are as follows:
- Research and identify potential venues based on client or event needs.
- Maintain a database of preferred venues, including pricing, capacity, amenities, and availability.
- Be the point of contact with clients when discussing venue requirements.
- Stay updated on venue trends, new openings, and industry best practices.
- Regularly attend FAM trips to meet new suppliers and venues.
- Present venue options with detailed comparisons, including cost analysis and logistical considerations both internally and to clients.
- Negotiate pricing, contracts, and terms with venue representatives.
- Conduct site inspections to assess venue suitability, layout, and potential challenges.
- Ensure venue costs remain within the allocated budget.
- Identify cost-saving opportunities and negotiate added benefits (Venue Commissions).
- Develop long-term partnerships with preferred venues to secure favourable deals.
- Track venue performance, cost savings, and contract negotiations.
- Provide post-event evaluations on venue performance and service quality.
- Act as the main point of contact for your client, and ensure all milestones are clearly communicated and met.
- Be consultative in your approach.
- Communicate effectively with all hotel & vendor partners.
You’ll handle hotel rooms, designing and communicating room sets, AV/Production needs, offsite events, ground transportation, and signage (and more!).

- Experience of working for a professional events agency in a venue sourcing role.
- Database management.
- Previous experience of venue sourcing.
- Top negotiation skills to maximise client budgets.
- Knowledge of UK Venues primarily in London, where you can leverage your existing relationships.
