We have an excellent opportunity for a highly organised and detail-oriented Team Administrator to support our COO and wider team. The successful candidate will provide comprehensive administrative and coordination support, assisting with diary management, meeting scheduling, travel arrangements, event planning, and document preparation. You will ideally have strong PowerPoint and Excel skills and act as a central point of contact to support the COO across the full range of operational functions, ensuring seamless organisation of anything and everything needed to keep activities running smoothly. This role is office-based at the London Gateway Terminal Building, and work collaboratively across departments to drive efficiency and connectivity.

Hours: Full-time, 37.5 hours per week (Mon-Fri)

  • Provide direct administrative support to the Chief Operating Officer (COO), including diary management, travel coordination, meeting preparation, and document handling.
  • Maintain accurate soft and hard copy files, ensuring document control is managed efficiently and confidential information is handled securely.
  • Plan and coordinate travel arrangements for the COO and other senior team members where directed, ensuring compliance with internal policies and approvals.
  • Process and submit expenses and purchase requisitions accurately and in a timely manner on behalf of the COO, liaising with Accounts Payable to resolve any queries.
  • Support the COO in the coordination and delivery of business projects, assisting with planning, tracking progress, preparing updates, and organising project-related activities.
  • Act as a trusted point of contact for ad hoc administrative, organisational, and project-related tasks as required, ensuring a proactive and professional approach at all times.

Business Administration or similar qualification or experience. Experience in an industrial/manual environment advantageous. Good telephone manner. Ability to demonstrate initiative, flexible attitude, organisational skills and attention to detail. Effective and strong communication skills, both orally and in writing. Intermediate knowledge of Microsoft Word and PowerPoint packages to competently use computer software to create documents, databases, spreadsheets and presentations. Good English language and numerical skills.
