Portfolio Administrator – Student Housing
Location: London
Salary: £30,000 to £35,000 per annum plus up to 25% performance-related bonus
Contract: Full-time, permanent
We’re hiring exclusively on behalf of a fast-growing accommodation provider to appoint a Portfolio Administrator to support the operational delivery of their London portfolio. This role is ideal for someone who thrives on structure, accuracy, and supporting the performance of a busy property management team.
Working closely with Portfolio Managers and regional leads, you’ll be responsible for tenancy lifecycle administration, data tracking, compliance coordination, and helping ensure all students experience a smooth and well-managed tenancy journey.
What you’ll be doing:
- Coordinating the tenancy lifecycle: document checks, contract issuance, Right to Rent validation
- Managing tenancy changes and replacements, ensuring legal compliance throughout
- Monitoring inboxes and triaging queries, escalating to relevant teams where needed
- Keeping compliance records up to date (certifications, inspections, exemptions etc.)
- Scheduling inspections, move-ins, and risk assessments using internal systems
- Supporting KPI reporting and weekly tenancy audits
- Handling council tax processes and ensuring documentation is filed correctly
- Providing administrative support for lettings season, handovers, and compliance checks
- Using WhatsApp video to triage common issues like access, keys, or internet faults
What we’re looking for:
- Experience in residential property, lettings, compliance, or tenancy coordination
- High attention to detail and ability to work with pace and accuracy
- Strong communication skills, both written and verbal
- Comfortable using systems like YARDI, Fixflo, HubSpot or similar
- Calm and proactive when managing multiple deadlines or priorities
- A natural team player who can work independently and take ownership
- Council tax or HMO licensing experience is a plus but not essential
