The Health, Safety, Quality and Environment team, working within the People team, is responsible for the management of Health and Safety, Quality and Environmental compliance of all work undertaken on the Radio Access Network sites used by Three and BT-EE. Reporting directly to the Head of Quality Assurance and Operational Excellence, the Document Coordinator will work very closely with the Document Controller as well as the wider business in the development and delivery of MBNL’s Document Management System.
The Document Coordinator will predominantly be working within the external document publication sphere, ensuring that legacy documentation is appropriately handled and made available only as required. The role should provide a point of focus for provision of documentation to external DMS repositories and for internal users to ensure that documentation aligns to their expectations.
What you will do:
- Work with document owners, functional leads and SMEs to triage and disposition existing documentation on MBNL’s externally facing Document Management Systems.
- Ensure that documentation metadata in external DMS is aligned to MBNL internal DMS and document lifecycle is maintained.
- Work with MBNL Document Controller and external DMS administrators to improve the functionality and design of the external DMS and implement a process for formal archiving of external documentation.
- Support MBNL Document Controller to coordinate and oversee the update, review, approval, release and archiving of process and technical documentation on external DMS.
- Oversee the application document metadata during the publishing of documentation to external DMS to ensure consistency and long-term control of documentation.
- Guide business users in accessing the MBNL external DMS.
- Maintain relevant and accurate records of documents, including logs, databases, and registers, to facilitate easy retrieval and maintain audit trails.
- Assist in resolving any document-related issues or discrepancies.
What we are looking for:
- Knowledge of DMS including application of metadata for library management.
- Knowledge of document management and document management principles and approaches.
- Strong IT and Microsoft 365 (including SharePoint) skills.
- Excellent attention to detail.
- Great communicator.
- Ability to work with multiple stakeholders with conflicting priorities.
Nice to have:
- Bachelor’s degree in business administration or IT systems.
- Knowledge of and experience within a ISO9001 and ISO45001 certified system.
- Experience within the construction or asset management industry and an awareness of CDM.
