Job Description

Our client is a fast-growing independent television production company with a reputation for making innovative and popular scripted and unscripted shows. They're now seeking a highly motivated and resilient individual for a demanding and fast-paced position. This role requires adaptability, strong problem-solving skills, and the ability to thrive under pressure in a high-intensity environment. The Assistant Office Manager will provide stability and support to the day-to-day operations, allowing the Office Manager to focus on strategic tasks . Experience using Microsoft Office Applications are a must for this role.

Responsibilities:

  • Managing the reception desk during working hours.
  • Coordinate with runners to cover reception from 8:30 AM – 9:00 AM and 5:30 PM until close, as well as during lunch breaks.
  • New joiner's paperwork (RTW check and equipment sign-out forms) ensure this is completed and loaded onto the relevant systems.
  • Company Asset log management – Log all laptops and equipment given out and swapped.
  • Meeting room bookings
  • Sole user and reconciler of Office Manager company credit card purchases (after OM approval) – maintaining meticulous records.
  • Reconcile and create runner floats for Office Manager approval.
  • Efficiently manage the office inbox, ensuring prompt and effective responses to all emails.
  • Keep runners on task and delegate new tasks as they come in.
  • Ensure smooth workflow.
  • Engage and ensure work experience complete their allocated tasks and allocate any additional tasks.
  • Report concerns, queries, commendations, and potential process issues to the Office Manager.
  • Train new runners on processes and procedures.
  • Act as the lead fire warden and first aider on site. (Training provided)
  • Regular check-ins with the Office Manager.
  • Opportunity to learn about office management and attend training courses.
  • Visibility and guidance from the Office Manager.
  • Assisting Development with the download of media

Skills required:

  • Strong previous office or reception experience.
  • Keen interest in stepping into a leadership role.
  • Excellent organisational, time management and communication skills.
  • Ability to deliver consistent results, often with tight deadlines and competing priorities.
  • Ability to take ownership of challenging tasks.
  • Ability to adapt quickly to evolving circumstances, displaying resilience and a solution-oriented mindset.
